Privacy Policy

At Jenny’s Yoga Loft, we respect your privacy and take the security of your personal information seriously.

This Privacy Policy explains, in simple terms, what information we collect, why we use it, how we keep it safe and the choices you have regarding your information.

1. What Information We Collect

When you use our website, make a booking, contact us or use our services, we may collect information such as the following:

  • Your name and contact details, including your email address and telephone number
  • Booking and class information
  • Preferences and interests that you choose to share with us
  • Basic information about how you use our website.

Most of the information we hold about you is provided directly by you when you register, make a booking or contact us.

2. Health and Medical Information

For your health and safety, we provide a separate health and medical questionnaire for students who wish to provide relevant information before participating in Yoga, Pilates or Tai Chi.

The questionnaire is a printable paper form. It is not completed or stored on our website or online booking system.

You can use our website and make bookings without providing health information online.

If you choose to complete the questionnaire, it may contain sensitive health information. Completed forms are kept securely away from the studio in a locked and secure box and are accessible only to the studio owner.

We do not use health or medical information for marketing purposes.

If you choose not to provide relevant health information, please be aware that we may not be aware of certain health considerations that could affect your safe participation. You should always let your instructor know about any health concerns, injuries or changes in your circumstances that may affect your ability to participate safely.

3. How We Use Your Information

We use your information to:

  • Manage your bookings and account
  • Provide our Yoga, Pilates, Tai Chi and other services
  • Contact you about classes you have booked
  • Let you know about important changes or cancellations
  • Contact you if a place becomes available on a waiting list
  • Respond to your questions and enquiries
  • Improve our website and services
  • Meet our legal, insurance and business requirements
  • Send marketing information where you have agreed to receive it or where permitted by law.

We only use your information where we have a lawful reason to do so under UK data protection law.

4. Keeping You Informed

We may use your email address to send you information about upcoming classes, workshops, events and other services offered by Jenny’s Yoga Loft.

Where required, we will ask for your permission before sending marketing communications.

You can unsubscribe from marketing emails at any time by using the unsubscribe link in the email or by contacting us.

Communications relating directly to a booking, such as a class cancellation, change of time or waiting-list availability, are not marketing and may still be sent where necessary.

5. Email Communications

We use Mailchimp to send some of our emails.

If you have chosen to receive marketing emails from us, your email address and relevant preferences may be processed by Mailchimp on our behalf.

You can change your preferences or unsubscribe from marketing emails at any time.

6. Online Payments

Where you pay for a class or service online, payments are processed securely through the payment service used by our booking system.

Jenny’s Yoga Loft uses Stripe and GymcatchPay, powered by UniPaaS, through Gymcatch.

Your payment information is securely passed to the relevant payment provider to process your payment. We do not need to see or store your full card details ourselves.

The payment providers may process information needed to complete the payment and meet their legal and security requirements.

7. Who We Share Information With

We do not sell or rent your personal information.

We may share limited information with trusted services that help us operate Jenny’s Yoga Loft, such as our website, booking, email and payment service providers.

We only share information where it is necessary to provide these services or where we have a lawful reason to do so.

We may also provide information where we are legally required to do so.

8. Keeping Your Information Safe

We take reasonable steps to keep your personal information secure and to prevent it from being lost, misused or accessed by people who do not need it.

Access to your information is limited to those who need it to provide our services or manage the business.

Our paper health questionnaires have additional security measures, as explained above.

9. How Long We Keep Your Information

We only keep your personal information for as long as we reasonably need it for the purpose for which it was collected, taking into account our legal, insurance and business requirements.

We regularly review the information we hold and will securely delete or destroy it when it is no longer needed.

Health Questionnaires

Completed health and medical questionnaires are kept securely for up to 3 years.

Where a student stops attending Jenny’s Yoga Loft, we may securely destroy their questionnaire sooner if there are no outstanding issues or circumstances that require us to retain it.

If there is an ongoing matter, such as an incident, complaint, insurance matter or other legitimate reason to retain the information, we may keep the questionnaire for longer until the matter has been resolved.

Once the questionnaire is no longer required, it is securely destroyed.

10. Your Rights

Under UK data protection law, you have rights regarding the personal information we hold about you.

Depending on the circumstances, you may ask us to:

  • Tell you what information we hold about you
  • Provide you with a copy of your information
  • Correct inaccurate information
  • Delete information where there is no lawful reason for us to keep it
  • Restrict how we use your information in certain circumstances or
  • Stop sending you marketing communications.

Where we rely on your consent to use your information, you can withdraw that consent at any time.

If you would like to exercise any of these rights, please contact Jenny’s Yoga Loft.
